ACCOUNTING:
- Reconcile bank statements, check books and general ledgers monthly
- Collect monthly dues disburse funds appropriately and in a timely manner
- File all corporate tax returns
- Maintain all accounts payable and accounts receivable for financial statements and audits
- Produce and mail coupon books to homeowners
- Manage operations to insure budget guidelines are maintained
MANAGEMENT:
- Enforce all Rules and Regulations
- Enforce Board approved late fees and fines
- Follow procedures for collecting delinquent assessment payments and report to the Board all actions taken.
- Mediate disputes
- Assist all Board members, committees and homeowners in the execution of Board and management policy
- File liens and judgments as necessary for delinquent assessment accounts
INSURANCE / RISK MANAGEMENT:
- Gather quotes when necessary
- Handle all insurance claims for the association
- Make monthly, quarterly or annual payments on the Association’s behalf
COMMUNICATION:
- Attend annual Association meetings
- Meet with the Board of Directors on a regular basis
- Give management reports at Board meetings
- Take minutes from meetings and prepare for distribution
- Coordinate voting procedures and proxies and report results to Board
- Maintain all records for the association including meeting minutes, vendor contracts, accounts receivable and accounts payable
- Mail welcome packages to all new homeowners
STAFFING & CONTRACTORS:
- Interview and hire for employment positions
- Supervise all community employees
- Administer payroll and benefits
- Implement disciplinary action when needed
- Evaluate and audit all purchases of supplies and materials
SPECIAL PROJECTS:
- Gather quotes from needed contractors and evaluate proposals
- Supervise all contracted services provided
- Oversee and coordinate major improvement projects
- Evaluate and audit all purchases of supplies and materials
